Reservations and Payments

A 50% deposit is required to secure your reservation. Reservations made within 90 days of the trip departure date require full payment at the time of booking. Full payment for all trips must be made at least 90 days prior to the trip departure date. Reservations not paid in full prior to 90 days of the trip departure date are subject to cancellation. Trip prices are per person and based on double occupancy. Payment of deposit implies agreement with Bike Tour Policies and Conditions.

Cancellations and Refunds

Cancellations made:

120 days or more prior to departure: Full Refund less $200 cancellation fee per person.

91-120 days prior to departure: 50% refund of full trip amount.

90 days or less prior to departure: No Refund 

Rescheduling

In the event you are unable to participate in a tour you have booked, Erie Canal Bike Tours, LLC will try to accommodate rescheduling your booking, but does not guarantee alternate trip availability. If you are unable to attend your booked trip as scheduled, and we are not able to accommodate you on a different departure, standard cancellation terms as defined above will apply. A $200 per person rescheduling fee will be charged. Any trip rebooked for another tour option is subject to price increase if cost of alternate tour is higher than the cost of the original tour.

Minimum Participation

All bike tours require a minimum participation to operate. Minimum participation varies based on tour, but in all cases an absolute minimum of 6 participants is required. Erie Canal Bike Tours, LLC reserves the right to combine trips, cancel trips or changes trip dates within 30 days of departure for any trip that does not meet minimum operational levels. In the event that your tour is reschedule or cancelled for any reason, you have the right to select one of the following options:

1. Select an alternative tour or tour date. If you select an alternative tour or tour date, the cost of the new tour package will prevail and you will be charged or refunded accordingly. However, Erie Canal Bike Tours, LLC will discount your new tour 10% to compensate you for having been inconvenienced.
2. Select our semi-supported tour option. For certain trips you can opt to complete your tour as originally planned using our semi-supported tour package option. Our semi-supported tour package includes most of the fully-supported tour amenities:
   
   Included: lodging accommodations, daily luggage transportation, transportation to and from starting point of ride, emergency trail-side assistance other than flat tires.
   
   NOT included: group social events such as activities, dinners, parties; meals other than breakfasts included in your hotel stay; flat tire support.
   
   An appropriate cost adjustment is made to accommodate for the reduced amenities offered on a semi-supported tour.
3. Receive a full refund. Erie Canal Bike Tours, LLC will provide a full refund of all monies paid directly to Erie Canal Bike Tours, LLC. Erie Canal Bike Tours, LLC is not responsible for any incidental expenses incurred by the customer such as airfare, car rental or any other expenses incurred by the customer in order to facilitate his/her participation in a bike tour.

Health, Fitness and Medical Issues

You should be in good physical health to participate in any bike tour. Please discuss any health and medical questions you may have with your doctor prior to your trip. Erie Canal Bike Tours, LLC reserves the right to decline participation to any trip participant whose condition, in our opinion, may affect the health, safety, or enjoyment of that participant or other participants of the tour. Erie Canal Bike Tours, LLC is not responsible for the cost of any medical treatment a trip participant may require during a trip.

It is understood that you are participating in our bike tour or other bike ride of any kind, and that you do so at your own risk. Your act of participation thus implies that you are engaging in this activity with your full understanding, recognition and awareness of your own physical abilities and limitations, and that Erie Canal Bike Tours, LLC is to be held harmless for any accident, injury, illness or incident you may encounter during the bike tour.

Accommodations

Accommodations are provided by third party entities. Erie Canal Bike Tours, LLC does not assume responsibility for any actions taken by any third party vendors. Erie Canal Bike Tours, LLC reserves the right to change establishments for overnight accommodations for any reason which may become necessary. When a change in accommodations is necessitated, every effort will be made to maintain an equivalent or better lodging option.

Double occupancy rooms provide a minimum of one double bed per room.  Erie Canal Bike Tours, LLC does not accommodate requests for specific room types. Upgrades and special accommodations can be requested by the customer directly to the hotel at time of check-in.

Single Supplement

A “Single Supplement Fee” will be charged to any participant that is traveling individually. If you require multiple beds in a room, you will be charged a “Single Supplement Fee.” The “Single Supplement Fee” varies per trip. Roommate matching is not available, and single rooms are subject to availability.

Gratuities

Gratuities of any kind are not includes. Please consider this during your stay at hotels, inns etcetera. If you have enjoyed your service, please be kind to the hard working people who make your stay pleasant and consider leaving an appropriate gratuity.
